How to use the PTO accrual calculator

  1. Choose whether your PTO is a yearly allowance or earned per hours worked.

  2. For an allowance, enter the days or hours a year and your pay frequency. For an hours-worked rate, enter the rate and your weekly hours.

  3. Set the length of your workday, so the answer shows in days too.

  4. Read what you earn per paycheck or per week, and copy the result or a link to it.

Ways to earn PTO

This free PTO accrual calculator shows how much paid time off you earn each paycheck, or each hour worked. To see the balance that builds up by a date, with PTO used and your cap, use the PTO calculator.

How is PTO accrual calculated?

Two formulas cover almost every accrual policy:

  • Per paycheck: yearly PTO hours ÷ paychecks a year (52 weekly, 26 biweekly, 24 semimonthly, 12 monthly).
  • Per hour worked: PTO hours earned ÷ hours worked to earn them. A full-time year is 2,080 hours (40 × 52).

For example, 15 days a year at 8 hours a day is 120 hours. On a biweekly payroll that's 120 ÷ 26 = 4.62 hours per paycheck, and on a semimonthly payroll it's exactly 5. Spread over a full-time year, it's 120 ÷ 2,080 = 0.0577 hours per hour worked.

What is a typical PTO accrual rate?

In the US, private industry workers get an average of 11 days of paid vacation after 1 year of service, 16 after 5 years, 18 after 10 years and 20 after 20 years, according to the Bureau of Labor Statistics (March 2026). At 11 days a year (88 hours) on a biweekly payroll, that's 3.38 hours each paycheck; at 16 days it's 4.92. Many companies give sick days and public holidays on top, so check what your PTO covers before you compare.

Accrual vs lump-sum PTO

With accrual, PTO builds up a little each paycheck, which protects the company when someone leaves early in the year. With a lump sum, the full allowance lands on day one, which is simpler and lets people plan a long trip early. New hires on a lump-sum policy usually get a prorated allowance for their first year. For the rest of the policy, see the types of PTO.

Divide your yearly PTO in hours by the number of paychecks a year. 15 days at 8 hours a day is 120 hours, so on a biweekly payroll you accrue 120 ÷ 26 = 4.62 hours each paycheck. If your PTO accrues by hours worked, divide the PTO hours by the hours worked to earn them instead.

With 80 hours (10 days) a year you accrue 1.54 hours weekly, 3.08 hours biweekly, 3.33 hours semimonthly or 6.67 hours monthly. With 120 hours (15 days) it's 2.31, 4.62, 5 and 10 hours. The table above covers 10 to 25 days a year.

US private industry workers get an average of 11 paid vacation days after 1 year of service and 16 after 5 years, according to the Bureau of Labor Statistics (March 2026). At 11 days a year on a biweekly payroll, that's 3.38 hours of PTO a paycheck.

It depends on your policy. At 1 hour of PTO for every 30 hours worked, a 40-hour week earns 1.33 hours of PTO, or about 69 hours (8.67 days) over a year. At 1 hour for every 40 hours worked, it earns 1 hour a week.

15 days of PTO is 120 hours at 8 hours a day, or 112.5 hours at 7.5 hours a day. The PTO hours to days calculator converts any amount both ways.

Both are common. A per-paycheck policy divides a yearly allowance by the number of paychecks. An hours-worked policy earns PTO at a set rate, such as 1 hour for every 30 hours worked. To see the balance that builds up by a date, use the PTO calculator with the "By hours worked" option.

A time off tracker adds each person's accrual every payday by your policy, including caps and carry-over. OrgaNice does it inside Slack, where people also see their balance and request time off.
